Parish Administrator and Director of Facilities
Position Description
Throughout the country, numerous churches of all denominations have retained the services of a full-time Parish Administrator. The management of churches has grown increasingly complex, and the day-to-day administration of a wide variety of matters is essential. The Parish Administrator is a steward of all the gifts God has entrusted to this church, including members, volunteers, financial resources, personnel, and the physical resources of the parish. As such, this individual must support the vision, mission and values of First Evangelical Lutheran Church.
Desired Qualifications:
- High integrity, a high degree of professionalism, and a reputation for maintaining confidentiality
- A college degree and/or a minimum of ten years business/administrative experience, preferably including communications
- The ability to lead and foster a team spirit
- Excellent communication skills, both written and verbal
- Excellent organizational skills
- Ability to manage numerous tasks and make sound judgments
- Demonstrated ability in financial management
- A working knowledge of computers and other modern office equipment and systems
- Demonstrated knowledge of building maintenance
- Experience in oversight of finances, facilities and capital improvements
- Familiarity with the City of Brockton and surrounding communities
- Familiarity with the faith, organization and structure of the Lutheran church
- A deep personal and spiritual commitment to First Evangelical Lutheran Church
General Duties and Responsibilities:
Under the direct supervision of the Senior Pastor, the Parish administrator will be responsible for the following general activities:
- Oversees all lay staff and volunteers
- Supervises the maintenance and security of all church property
- Maintains the calendars and schedules for all church property
- Maintains close liaison with auxiliary organizations of the congregation such as Martha Guild, Bowling League, Children's Ark Pre-School, etc.
- Develops and maintains an inventory of membership talents and encourages widespread involvement
- Works with the Senior Pastor and others to develop and implement a long-range, meaningful strategic plan
- Works with Church Council committee chairs to aid in program planning and implementation
- Maintains files of official church records and documents
- Maintains a high profile for the church among a diverse group of civic, service, non-profit and media organizations within the communities served by First Evangelical Lutheran Church
- Attends all meetings of the finance committee, property committee and Church Council
- Develops programs and/or assignments of volunteer groups in conjunction with appropriate committees
Specific Responsibilities: Finance
In partnership with the Treasurer, office staff, finance and insurance committees, oversees financial matters with regard to income, payroll, accounts payable, purchasing and gifts.
- Oversees financial record keeping, budget management, and monthly reports
- Prepares the congregation's Annual Report, the annual ELCA Parochial Report, and other reports as needed
- Attends meetings of the finance committee and the trustees of the Permanent Fund
- Oversees insurance needs for First Evangelical Lutheran Church and the Fruth Center, including liability, property, worker's compensation, personnel, and other insurance matters
- Acts as a liaison between the congregation and the New England Synod on financial matters
- Proactively researches and prepares applications for grants and other financial opportunities for both the congregation and the Fruth Center
Specific Responsibilities: Facilities
In partnership with property and finance committees and the Fruth Center trustees, the Parish Administrator has primary day-to-day responsibility for matters regarding the maintenance and improvement of buildings and grounds.
- Works with the aforementioned groups to develop a long-range facilities plan
- Supervises all long-term and short-term lease and/or rental agreements
- Administers the physical properties of the congregation, including the development of budgets; construction, maintenance and cleaning schedules
- Oversees purchases and expenditures, and forecasts capital expenditures
- Oversees building and grounds crews
- Stays abreast of new products, equipment and systems to provide greater efficiency for building operation
- Negotiates with vendors in order to obtain the most favorable pricing and service schedules
- Proactively seeks opportunities for special fund raising events utilizing the facilities of the parish
Specific Responsibilities: Personnel
- Oversees disbursement of salaries and benefits to paid staff
- Oversees the implementation of personnel policies and procedures
- In partnership with the personnel committee, develops guidelines for office procedures
- Assists in the development of annual reviews and staffing needs, and makes recommendations regarding personnel matters
Specific Responsibilities: Other
- Performs any other reasonable tasks upon request
Work Schedule, Compensation, Benefits
- Hours of Work: The Parish Administrator shall work a minimum of 40 hours per week, which may include weekend and/or evening meetings. The Administrator shall be expected to maintain daily office hours as set by the Senior Pastor.
- Compensation: Total compensation for the first year of employment shall be negotiated with the Senior Pastor, and shall include salary, withholding, employer paid Social Security, health insurance, and retirement benefits.
- Vacation: The Parish Administrator shall receive paid annual leave to be negotiated at hire.
- Travel: Church business-related travel expenses will be reimbursed at current IRS rates. Expenses and travel for attendance at the annual New England Synod Assembly will be reimbursed by the congregation.
Supervision:
The Parish Administrator will report directly to the Senior Pastor.
